This Privacy Policy explains how Landscapewell Ltd collects, uses, shares and protects personal information when you visit our website, request a quotation, communicate with us or become a customer.

1 Who we are

Landscapewell Ltd is the controller responsible for your personal information. Our company and contact details appear at the beginning of this policy pack. Questions or requests concerning personal information may be sent to info@landscapewell.co.uk or made by telephone on 07568 503019.

2 Information we collect

Depending on how you interact with us, we may collect:

Identity and contact information, including your name, address, email address and telephone number.

Enquiry and project information, including the services requested, property details, measurements, plans, photographs, access information, preferences and communications.

Contract and transaction information, including quotations, agreed variations, invoices, payments and payment status. We do not normally retain complete payment-card details.

Technical and usage information, including IP address, browser and device information, pages viewed, referral source, cookie identifiers and choices, where collected through Wix or permitted analytics tools.

Marketing information, including your preferences and responses to messages.

Records of complaints, accidents, damage, insurance matters and legal correspondence.

Photographs or video of work, where reasonably required to quote, record progress, evidence completion or resolve a concern. We will seek appropriate permission before using identifiable images of private property for advertising.

3 How we obtain information

We usually obtain information directly from you through website forms, email, telephone, text or messaging services, social media, site visits, quotations and contracts. We may also receive relevant information from another household member, your representative, a contractor involved in the project, a referral source, a supplier, a payment provider, an insurer, a professional adviser or a publicly available source where lawful.

4 Why we use information and our lawful bases

Enquiries quotations and contracts

We use information to respond to enquiries, arrange site visits, prepare quotations, plan and perform work, obtain materials, communicate about a project, invoice and collect payment. Our lawful bases are taking steps at your request before entering a contract and performing our contract with you.

Business administration and legal obligations

We use information for accounting, taxation, record keeping, insurance, health and safety, waste documentation, preventing fraud, establishing or defending legal claims, and complying with lawful requests. Our lawful bases are legal obligation and our legitimate interests in running and protecting our business.

Improving our services and website

We may use feedback, service records and aggregated website information to understand performance and improve our services. Our lawful basis is our legitimate interests, except where consent is required for cookies or similar technology.

Marketing

We may send marketing where you have consented or where the law permits us to contact an existing customer about similar services. You can opt out at any time by using an unsubscribe option or contacting us. We do not sell personal information.

Photographs and testimonials

We may retain job photographs as part of the project record where necessary for our contract or legitimate interests. We will obtain permission before publishing a customer testimonial or marketing image that identifies you or your property. Permission can be withdrawn for future use, although this will not make earlier lawful use unlawful.

5 When we share information

We share only what is reasonably necessary with organisations or people that help us provide services or meet our obligations. These may include Wix and other website or hosting providers; email, telephone, cloud-storage and IT providers; accountants and payment providers; material suppliers and delivery companies; employees, labourers, subcontractors and specialist trades; waste carriers; insurers, surveyors, debt-recovery providers, solicitors and other professional advisers; and regulators, courts, police or public authorities where required or permitted by law.

Service providers acting for us must handle information appropriately. Some recipients, such as payment providers or professional advisers, may act as independent controllers under their own privacy notices.

6 International transfers

Some technology providers may process information outside the United Kingdom. Where UK data-protection law requires safeguards, we rely on an applicable UK adequacy regulation, the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses, or another lawful safeguard. You may contact us for further information about the safeguard used for a particular transfer.

7 How long we keep information

We keep information only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting and insurance requirements. Our usual periods are:

Unsuccessful enquiries and quotations: normally up to two years after the last meaningful contact.

Customer, contract, invoice and project records: normally six years after completion or the end of the relevant accounting period, and longer where tax, insurance, guarantee or legal requirements reasonably require it.

Payment and accounting records: normally at least six years after the end of the relevant financial year.

Complaints, disputes and insurance records: normally six years after closure, or longer where a claim remains possible or active.

Marketing records: until you opt out or we decide the information is no longer current. We may retain a minimal suppression record so that we respect an opt-out.

Cookie and analytics information: for the period stated in our cookie settings or the relevant provider’s information.

We may delete or anonymise information earlier where it is no longer needed.

8 Security

We use reasonable organisational and technical measures intended to protect personal information against unauthorised access, loss, alteration or disclosure. No internet transmission or storage system is completely secure, so we cannot guarantee absolute security.

9 Your rights

Subject to the law and any applicable exceptions, you may have rights to:

be informed about how your information is used;

request access to your personal information;

ask us to correct inaccurate or incomplete information;

ask us to erase information;

ask us to restrict its use;

object to processing based on legitimate interests or to direct marketing;

receive certain information in a portable format;

withdraw consent at any time where processing relies on consent; and

complain to the Information Commissioner’s Office.

We may need to verify your identity before acting on a request. We normally respond within one month. Withdrawing consent does not affect processing that was lawful before withdrawal.

10 Automated decision making and children

We do not use personal information to make solely automated decisions that have legal or similarly significant effects. Our website and landscaping services are not directed at children, and we do not knowingly collect children’s information through the website except where an adult provides limited information that is genuinely relevant to a project or safety requirement.

11 Links and social media

Our website may link to other websites and social-media platforms. Those organisations control their own processing, and their privacy notices apply when you use their services.

12 Complaints and the ICO

Please contact us first if you have a concern so that we can try to resolve it.

You may also complain to the Information Commissioner’s Office at

You may complain to the supervisory authority where you live or work if different.

13 Changes to this policy

We may update this policy to reflect changes to our services, suppliers or legal obligations. The effective date at the top shows when it was last updated. Material changes will be highlighted on the website where appropriate.
